How St Columba's Parish, Wrenmouth uses what you send through this website: contact messages, giving, the livestream and visit statistics.
Example text for the Ordo template, written for St Columba’s Parish, an invented Catholic parish. It is an example to be reviewed by a lawyer, and checked against your diocese’s own policy, before you publish; nothing here is legal advice.
1. Who is responsible
St Columba's Parish, 16 Chapel Row, Wrenmouth, publishes this website. It is a Catholic parish of three churches: St Columba's, St Brigid's in Ashlin Ford and Our Lady Star of the Sea in Saltcote Harbor. The pastor is responsible for the parish's records; the parish office handles requests about them.
You can reach the office at (555) 555-0172 or office@stcolumbas.example: Mon–Thu 8:45 AM–1:45 PM · Wed also 3:15–5:45 PM · Fri 8:45 AM–12:15 PM.
2. What you send us through the contact form
The contact form asks who you are, an email address to reply to, a subject (Baptism, Marriage, Funeral, Mass intention or Other) and your message. It arrives in the parish office inbox and is read by the office staff, the priests and the deacon, as the subject requires.
We use it only to answer you and, if you ask for a sacrament, to open the file that sacrament needs. We do not add you to a mailing list because you wrote to us.
3. Religion, health and family matters
A message about a baptism, a wedding, a funeral or an illness can reveal your religion, your family situation or your health. We treat these messages as confidential, share them only with the priest or deacon who will help you, and never use them for anything else.
Please do not write anything in the form that you would only say in confession. Confession is never by email.
4. Sacramental records
When a baptism, First Communion, Confirmation, marriage or funeral takes place, the parish enters it in its sacramental registers, as Church law requires. These registers are kept permanently by the parish and the diocese and are not part of this website.
Certificates are issued only to the person concerned, their parents if they are a minor, or someone with their written permission.
5. Giving
The Give buttons take you to the website of an outside giving provider chosen by the parish. Card numbers and bank accounts are typed on the provider's pages and governed by the provider's policy; the parish never sees or stores them.
The provider sends the parish your name, contact details, the amount and the date of each gift, so that we can thank you and mail you a yearly statement for your taxes. We keep these records for seven years, as our accountant requires.
6. The livestream
The 10:30 AM Sunday Mass and holy day evening Masses at St Columba's are streamed on the parish YouTube channel. The camera points at the altar and the lectern; people in the first rows on the left can appear in the picture. If you would rather not be seen, sit on the right-hand side or in the back half of the church.
Google's privacy policy covers the stream wherever you watch it; the YouTube cookies are listed in our Cookie Policy.
7. Visit statistics
The website is hosted by Framer, which counts visits so we can see which pages are read: page views, the type of device and browser, the referring page and an approximate location derived from the IP address. We use these figures in aggregate only, never to identify a visitor.
8. Children
The website is not meant to be used by children on their own. A parent or guardian makes every religious education and sacrament registration for a child, and photos of children are never published without that parent's written consent.
9. Who else sees your information
We do not sell or rent personal information. It goes no further than the people who need it to help you: the priests, the deacon, the office, and the diocese when a sacrament requires it (for example, a marriage file). Our website host, email provider and giving provider handle data on our behalf, each bound by its contract with the parish.
10. How long the office holds on to it
Contact messages are deleted from the office inbox 24 months after the last reply, unless they are part of a sacrament file. Giving records are kept seven years. Sacramental registers are kept permanently.
11. Your rights, and new versions
Call or write to the office to receive a copy of what the parish holds about you from this website, to correct it, or to have contact messages deleted. Entries in the sacramental registers can be annotated but not deleted.
A revised policy replaces this one on the same page, with the revision date at the top.
